Microsoft Dynamics 365 Business Central is a robust ERP solution that offers extensive customization through extensions. However, there are scenarios where Power Apps can provide a more flexible and efficient solution. This article explores when and why you should consider using Power Apps instead of extensions within Business Central to help you understand when to think outside of the Business Central box.

What are Power Apps?
A Power App can come in one of two flavours, either as a Model Driven App based on Dataverse, or as a Canvas Apps which can integrate seamlessly with data from other systems through a wide range of connectors, that provide out of the box connectivity to hundreds of different data sources.
They’re created via a rapid application development environment that be used to build custom apps for business needs. A model Driven App starts with a data model (Dataverse) and a Canvas App starts with a blank canvas, with or without a data source. Both types of app can be used to create applications with minimal coding, leveraging data from various sources, including Business Central, Microsoft 365, and other third-party services.
Benefits of Power Apps for Business Central
Power Apps offers several advantages over traditional extensions in Business Central:
- Flexibility: Power Apps can be used to create custom solutions that are not limited by the constraints of Business Central's extension framework.
- Ease of Use: With a user-friendly interface, Power Apps enables non-developers to build and deploy apps quickly.
- Integration: Power Apps can seamlessly integrate with other Microsoft services, providing a unified experience across platforms.
- Device Capabilities: Power Apps supports mobile and web applications, allowing users to access their solutions from anywhere.
Scenarios Where Power Apps Should Be Used
There are certain specific scenarios where Power Apps could be a better fit than Business Central extensions:
- Custom UI Requirements: When you need a tailored user interface that Business Central's standard UI patterns cannot accommodate, Power Apps provides full control over the UI design.
- Mobile Solutions: For applications that need to be accessed on mobile devices, Power Apps offers a responsive design and mobile capabilities that extensions may lack.
- Complex Workflows: If your business processes involve complex workflows that require integration with multiple systems, Power Apps, together with Power Automate, can streamline these processes more effectively.
- Rapid Prototyping: When you need to quickly prototype and iterate on solutions, Power Apps allows for faster development and deployment compared to extensions.
Commercial Opportunities for Partners
By adopting a Power App approach, partners can often uncover significant new commercial opportunities. By offering tailored solutions that go beyond the capabilities of Business Central extensions, partners can address specific business needs to help drive customer adoption of solutions. This could include development of mobile applications, automation through workflows, and integration with other Microsoft services.
New Tools (Power Automate, Power BI)
Power Apps integrates seamlessly with other tools in the Power Platform, such as Power Automate and Power BI:
- Power Automate: Automates repetitive tasks and workflows, connecting Business Central with other applications and services to streamline processes.
- Power BI: Provides advanced analytics and visualizations, helping businesses make data-driven decisions by integrating Business Central data with other sources.
Conclusion
While Business Central extensions offer powerful customization options, there are scenarios where Power Apps can provide a more flexible and efficient solution. By leveraging Power Apps, Microsoft partners can create tailored applications that meet their customers specific needs, integrate seamlessly with other Microsoft services, and enhance productivity, opening up new commercial opportunities to deliver innovative solutions and help drive customer success.
Whilst we all know that the C in CRM (or CE) stands for Customer, for many partners in our community and for us, our first association would usually be linked to Chris. Whether you meet Chris at an (online) event, attend one of his webinars or listen to his latest podcast episode, he is all about Dynamics 365 and its inseparable link with the Power Platform. Apart from this ambassador role, his true passion is helping translate a vision into simplified actions that partners can take to enable them to succeed and grow.
